Private AI for business: what stays under your control?

Separate the box from the services it connects to

Boxotron is being designed to coordinate workflows locally and use cloud AI or connected services where needed. A locally coordinated task can still send information to an external provider. Fully offline operation and keeping every file on the box are not promised. Confirm the processing path for each workflow before enabling it.

Give access to the job, not the whole company

For an invoice-organising task, begin with an approved folder or inbox scope. A reply-drafting task may need specific customer conversations. Avoid connecting unrelated accounts simply because they are available.

• Which accounts and folders can it read?
• Can it edit, delete or send, or only prepare a draft?
• Who can grant access and revoke it later?

Decide which actions need a person

Reading a document is different from deleting it. Preparing a reply is different from sending it to a customer. Agree the approval points, the person handling unclear cases and a way to pause the workflow. Boxotron’s design includes activity history and exception review; final controls will be documented before launch.

Ask about retention and providers

Before connecting company data, ask which providers receive it, where copies are stored, how long logs and files are retained and how access can be removed. Include backups and exports in that discussion. These answers should match the workflow you intend to run, rather than a general promise of “private AI”.
