Business automation is most useful when you can name the work, show an example and recognise a correct result. If you are choosing AI for your company, start with one repeatable task that takes time away from customers or paid work.

Time freed is capacity you can put to other work, not guaranteed cash savings. This is a planning estimate, not a Boxotron quote or measured product result.
How the estimate works
Hours freed = monthly tasks × (minutes today − minutes after automation) ÷ 60. Time value = hours freed × hourly value. The balance subtracts your monthly budget. Break-even volume rounds up to a whole task.
Use averages from real examples, including failed attempts. Check quality as well as speed. Ongoing supervision and setup costs belong in your estimates. Values stay in this page and are not submitted.
Choose a task with a clear finish
An enquiry becomes a customer record and a reply draft. A month of receipts becomes an organised folder with a missing-document list. Both have an input and an output you can check. “Handle our administration” is too broad for a first job.
- Pick a task that happens often enough to matter.
- Use examples your team already understands.
- Name the person who will review exceptions.
Measure the time you could recover
Time ten typical cases before automating. Include finding information, copying it and checking the result. For an illustration, saving five minutes on 100 tasks would recover 500 minutes, or 8 hours 20 minutes. Subtract the time needed for review, corrections and maintenance. This is a planning calculation, not a measured Boxotron result.
Choose when the work should happen
Some work runs once, such as sorting an approved document folder. A morning briefing fits a daily schedule; an accountant’s document pack fits a monthly one. Customer enquiries may need an event from a connected app. Quote follow-ups can continue until a customer decides. Available triggers depend on the connection.
Set a trial, approvals and a budget
Start with a small sample and compare it with the work you do manually. Agree what counts as completed, which messages need approval and when automation must stop.
